Mission Statement: The purpose of Pieceable Quilters is to promote the art of quilt-making. We are dedicated to the support, encouragement and education of quilt-makers of all levels.
3. Open to any law abiding person with good character interested in quilting. Members must be in good standing with the treasurer and have the annual dues paid. Dues are due at the first meeting of the year. Six mont
h membership for late starters and
snowbirds. Price of annual dues will be decided by the board. Any member in good standing will have the right to vote at any guild meeting. Privileges of membership include participation in workshops, exhibits, trips, and any
newsletters and the directory of members. Visitors are always welcome, but asked that they are limited to two visits, and thereafter asked to become members. Two fat quarters or two narrow quarter yard cuts of fabric are also expected of each
member as a part of the dues. Any interested quilter, regardless of age may be a member. For those 18 or younger,
this would be a junior membership at half the cost of an adult membership. Nursing
babies are fine. In the event of a paid speaker, the guild will ask visitors to pay a minium fee of $5, or
higher as determined by program chair and president. Each member is expected to provide snack at least once annually. That member is
also expected to help with set up and clean up at that same meeting. The population of members is limited to room capacity (fire restrictions) and can be
set by the board in the event that the board feels this is necessary.
4. Meetings are the third Tuesday of the month. Door opens at 5:45 pm; meetings run from 6:15 pm to 8:30 pm. For the Christmas party and summer picnic meetings, the door opens at 6:00 pm and
the meal begins at 6:30 pm. Date of meeting can be changed to fit facility schedule, to work around holidays, or to
accommodate a speakers’ schedule. Voting quorum: 3 or more board members at board meeting, 40% of membership for
voting during meeting. Motion will carry with 51% of quorum.
5. Officers and Duties
A. Officers are nominated at the October meeting; terms are one year. Officers are the

voting members of the board. Nominees must be a member in good standing, and
actively participating in the guild for minimum of one year. Officers, voting board
members are the following: President, Vice President, Past President, Secretary, and
Treasurer. Officers are elected at the November meeting; however, nominations are open up to the
time of the election. Nominees can be self nominated or member nominated. Nominee
must approve nomination. Officers and committee chair are required to maintain an information binder or folder. President:
1. Presides at all guild meetings and board meetings.
2. Calls all meetings to order.
3. Makes the agenda for guild and board meetings.
4. Assure that committees are on task
5. Letter to monthly news letter
6. Over sees budget
7. Welcomes new members and visitors
8. Begins meetings with announcements and basic meeting procedures
9. Confirms the annual fee for the guild’s Articles of Incorporation with current
guild representative. Vice President:
1. Has the power to perform all the duties of the president when the president
is absent or unable to perform such duties.
2. Keep track of visitors and inform president of visitors.
3. Any additional duties as delegated by the president.
4. In charge of gift for the president, of either a quilt (expense not to exceed 150 $)
or 100 dollar gift certificate.
5. Keeps time and uses bell to call meeting to order
6. Prepares for presidency for the following year. Secretary:
1. Keep complete minutes and copies of all meetings, past and present.
2. Carry out all correspondence as determined by the board.
3. Email information to members. (over sees newsletter committee)
4. Works with newsletter committee. Treasurer:
1. Keep an accurate record of receipts and disbursements, both past and present
records.
2. Custodian of all funds ,
3. Pay all bills authorized by the board.
4. Collect membership dues.

6. Collection of fees for events and programs.
7. Provides necessary information to board for budget creation in January.
8. Provides monthly report
H. Past President:
1. The previous year’s president.
2. Voting member of the board.
6. Committee Members:
A. Volunteer position, assignment to committee per board approval. May be co-chaired. Listed as:
1. Program (Chairman: 2-year commitment with a 1-year learning position)
A. Planning of meeting topics. Contacting potential lecturers and teachers for meetings. Work with president about necessary detail and arrangements
pertaining to lecturers and teachers for the meetings. Works with treasurer for necessary funds.
2. Hospitality
A. Recruits members to bring treats and beverages to meetings, sends
reminders to recruited members. Ensure proper amounts paper products. Oversees and/or delegates set up and take down of meeting room. Funding per year set by board budget.
3. Community service
A. In charge of any charity projects. Granted 10% of annual dues
from previous year’s budget, plus
any existing memorial funds and
committee fun raisers. Plans sew days for projects.
4. Christmas Quilt (or Members raffle)
A. Coordinates making of a quilt to be raffled at the Christmas
party. Blocks due in April. Quilt completion no later than September. Charge of sale of raffle tickets, responsible to treasure for
funding and profits. Funding: expenses are paid from Quilt raffle ticket sales
5. Quilt Retreats
A. Coordinates times and places for retreats for the guild. Page 4 of 5
B. Works with treasurer about finances needed for retreats. Funding: expenses are paid by participating members.
6. Secret Sisters
A. Has members sign up in December or January to be a Secret Sister. Assigns secret sister. Keeps track of gift giving and informs members if they are delinquent. Helps to get gifts to members.
7. Greeters
A. Greets members and visitors at the door; has entrance table set up. Sign in sheet for members and visitors with their name tags. Keeps up fat quarter basket and welcome table. Keeps president aware of new members and visitors
8. Special Projects
A. Coordinates projects and challenges for the guild
B. Funding annually at Board’s discretion based on committee
need and input.
9. Raffle Queens
A. Obtains items to raffle
B. Collects money from raffle, distributes money to treasurer,
Retains 40% of monthly profits to use for future raffle purchases
C. Funding: Expenses are paid from Quilt raffle ticket sales.
10. Newsletter
A. Collects information and articles of interest for membership
B. E-mails to members approximately 5-6 days before guild meetings
C. Works with secretary
11. Membership
A. Creates rosters with members’ address, phone, and email
B. Distributes membership cards
C. Distributes membership binders
12. Party
A. Coordinates themes and games for summer picnic and Christmas party

A. Revises bylaws on even years or sooner as needed. Advises Roberts Rules at meetings and board meetings

7. Board meetings:
A. Are decided in advanced by board. Board meetings are open to all members in good
standing. Meetings of delicate or personal nature may be called by the present and open only
to board members. In the event that the president serves more than one consecutive year, the board will
not have the past president as a board member. If there is a tied vote with the board
members, the first committee chair that has arrived to the board meeting with be
designated to vote as the tie breaker. January board meeting is designated to establish current year’s budget based on
previous year’
8. Quilt retreats and classes sponsored by Pieceable’s
A. Classes will be paid in full at time of sign up, refunds only if class is canceled
B. Retreats will require down payment at time of sign up, the remainder of the balance will
be paid as determined my retreat committee.
10. Scholarships and charitable contributions
A. Candidates for scholarship or charity may be presented to board for consideration
B. Every attempt will be made to make scholarships and charity discretionary.
11. Bylaws written by board members, approved by board members and approved by guild
membership within 30 days from board member approval.
12. Facilities
A. Works with the President to set the annual meeting calendar for general meetings, sew
days and charity sew days. Coordinates with the facility(s) to secure scheduling needs. Provides board with facility requirements, access codes, contractual information
